Green Building Initiative (GBI) is a 501(c)3 nonprofit organization whose mission is: “To improve the built environment’s impact on climate and society.”

Challenge

Over years of growth, the Green Building Initiative’s Salesforce environment had become a "black box" of overlapping automations. The org contained a mix of legacy Workflow Rules, Process Builders, and complex Apex Triggers developed by various contributors over time. This lack of documentation created "automation gridlock," where changing a single field could trigger a cascade of unintended background actions, leading to data inconsistencies and frequent system errors. The internal team lacked a clear map of which processes were declarative (point-and-click) and which were programmatic (code), making it impossible to troubleshoot issues quickly or scale the system to meet new business requirements. Without a unified technical blueprint, the organization faced significant technical debt and a high risk of system failure during critical updates.

Solution

Belkbot Solutions conducted a deep-dive technical audit to document and rationalize the entire automation landscape. We utilized a hybrid approach to capture every moving part of the system:

  • Declarative Audit: Every active Flow, Workflow Rule, and Process Builder was mapped out, documenting its trigger criteria, intended outcome, and cross-object impacts.

  • Programmatic Review: Our team performed a comprehensive code review of all Apex Classes and Triggers, identifying "dead code" and ensuring that programmatic logic followed modern bulkification best practices.

  • The Global Automation Map: We consolidated these findings into a centralized "Automation Inventory." This living document serves as a master directory, categorizing every automation by its functional area (e.g., Lead Routing, Membership Billing, Certification Tracking) and its technical type.

By visualizing how the code and the "clicks" interacted, we identified and removed redundant processes, significantly reducing the org's CPU consumption and improving page load speeds. The documentation provided GBI with a clear roadmap for migrating legacy automations into Salesforce Flow, ensuring their environment remained modern and maintainable. This strategic clarity transformed Salesforce from a source of frustration into a streamlined engine that the GBI team can now manage and expand with total confidence.
